WeServe Job Tracker

How the Job Tracker works

Seven stages, one job number. You are told when each stage happens, so you never have to ring to ask where a matter is up to.

1

Submit the job

Use the online Request a Quote form, or email your instructions and documents to intake@weserve.au. Tell us the document type, the address for service, the serve-by date and anything we should know about the person or the premises (work hours, dogs, gated access, safety concerns).

  • Upload or attach the documents to be served (we print up to 100 pages at no charge)
  • Choose Standard or Urgent / Same Day
  • Add a reference so it matches your own file
What you receive: an on-screen confirmation the moment you submit.
2

Job number issued

Our office reviews the instructions the same business day, confirms the documents and the fee, and creates the job. From this point the matter has a WeServe job number (for example WS-24817) that appears on every update, invoice and the Affidavit.

What you receive: a confirmation email with your job number, the agreed service, the serve-by date and the fee.
3

Assigned to a licensed agent

The job is allocated to a licensed process server who covers that area. Documents are printed, checked against your instructions and dispatched. Urgent jobs are dispatched the same day; standard jobs are scheduled for a first attempt within 48 hours.

What you receive: an "Assigned" update by email or SMS.
4

Service attempts — logged and reported

Each attempt is recorded with the date, time and outcome. If the person isn't home, the agent notes what was observed (lights on, car in driveway, neighbour's comments) and varies the time of the next attempt — early morning, evening or weekend — to maximise the chance of personal service.

  • Up to three attempts at one address are included
  • Every attempt triggers an update, successful or not
  • If the address looks wrong we tell you straight away, rather than burning attempts
What you receive: an SMS or email after every attempt with the outcome and the plan for the next one.
5

Served

When the documents are served, the agent records how service was effected (personally, or by an accepted alternative such as a person over 16 at the address where the rules allow), a description of the person and the exact time.

What you receive: a "Served" notification the same day, so you can diarise the next step in the proceedings immediately.
6

Affidavit of Service delivered

The agent prepares and swears the Affidavit of Service in the form required for the court concerned (Local, District, Supreme, Federal Circuit and Family Court). It is checked by our office and emailed to you, with the original available on request.

What you receive: the signed Affidavit of Service by email, ready for filing, together with the tax invoice.
7

Track the job at any time

Because every stage is logged against the job number, we can tell you the current status and the full attempt history in seconds. Quote the job number when you call or email and you'll get an answer, not a call back.

  • Phone (02) 9091 3534, 7 days 8am–8pm
  • Email intake@weserve.au with the job number in the subject line
  • Ask for the attempt log if you need it for a substituted service application
What an update trail looks like

One job number. Every step on record.

Here is the trail for a typical Sydney Metro job: instructions on Monday morning, served Tuesday morning, Affidavit in your inbox before lunch.

  • Job number on every message
  • Update after every attempt
  • Affidavit emailed the day it's served
  • Attempt log available on request

Job Tracker questions

How will I get updates — SMS or email?

Whichever you nominate on the booking form. Most firms choose email for the file and SMS for the "Served" alert. You can change this at any time by replying to any update.

Can several people at my firm receive the updates?

Yes. Give us up to three contacts per job (for example the solicitor, the paralegal and a general matters inbox) and all three receive every update.

What if the person can't be found after three attempts?

We send you the full attempt log with the observations from each visit. That log is what you need to support a substituted service application, and we can quote for further attempts or a skip trace if the address appears to be out of date.

Does the Job Tracker cost extra?

No. Job numbers, updates and the attempt log are included in every booking.

Does it work for Melbourne and regional jobs?

Yes. Every WeServe job — Sydney Metro, regional NSW and Melbourne — runs through the same tracker. Regional jobs may have longer gaps between attempts because of travel, and each update tells you when the next attempt is planned.

Every WeServe booking includes up to three (3) service attempts at a single address unless otherwise specified, an Affidavit of Service upon successful service, and printing of up to 100 pages.
